About the Role
Main duties include:
Welcoming patients and visitors to the clinic and registering new patients
onto the clinical system.
Responding to in-clinic and telephone enquiries and responding to email
correspondence.
Appointment bookings and diary management.
Control and ordering of clinical stock.
Processing payments and invoices.
Corresponding with medical insurance providers and third-party referrers.
Administration duties include filing, data entry, photocopying and
scanning of documents. MS EXCEL ability is essential.
Maintaining accurate filing and archiving systems.
Observing GDPR and patient confidentiality protocols.
Ensuring reception, waiting and clinical areas are kept tidy and safe.
Responsibility for opening and closing the premises securely.
Such duties not listed above as are required to ensure the smooth running
of the clinic.
Full- or part-time will be considered, with a degree of flexibility to cover the
clinic’s opening hours (Monday – Saturday) from early mornings until late
evenings (on some days) and to cover admin staff leave and sickness cover.
Previous Physio/GP/Medical reception experience will be of benefit.

Requirements
The job requires provision of efficient reception, switchboard and general
administrative services to patients, colleagues, and business partners.
Organisational skills are essential and post holder must be able to work
accurately in a fast-paced environment. Good communication, customer service,
administration, and IT skills are required in this role.
You will provide the first point of contact for our patients in this very busy clinic, and we stress the need
to do things right first time and manage tasks and time effectively.
From a personal perspective, we are a fun, hard-working team and looking for a flexible, relaxed, and cheerful sort of person who is able to reliably commute to the Newcastle city centre.
The ability to be compassionate and calm under pressure is essential in this role.
